IMPORTANT DATES

1. 7/26-27/07 - Booth Confirmation letter sent out via email

Be on the lookout as your booth confirmation letter will arrive via email to the HIMSS main contact person beginning July 26-27.  The information included in the confirmation letter will be useful throughout the year for registration, housing and the exhibitors’ product & services directory.  The confirmation letter will include all the Web site links to direct you in the right direction.

If you do not receive a booth confirmation letter by close of business on Friday July 27, please email Virginia Geoghegan at vgeoghegan@himss.org.

2. 7/30/07 - Housing opens to all exhibitors

Beginning July 30, all exhibitors can place hotel reservations directly through Ambassadors. To reserve your hotel room online, please refer to your booth confirmation letter that will be sent to you on Thursday, July 26 or Friday, July 27 from Virginia Geoghegan or Christina Luke for the actual Web site. 

ALL EXHIBITORS are required to book their housing through the HIMSS official housing company. Any exhibitor who does not go through HIMSS' official housing block will not be permitted to exhibit and will forfeit all monies paid.  This policy is in effect to ensure we receive the needed exhibit floor space for you.  Convention Centers provide exhibit space based on housing secured from the previous years.   

  • 5 points for managing your hotel block for HIMSS08 through the "Exhibitor Cafe" the online hotel management tool by Ambassadors by December 29, 2007.
  • 10 points for companies that confirm hotel room needs for HIMSS08 with our official housing contractor by October 12, 2007
  • 5 points for companies that confirm hotel room needs for HIMSS08 with our official housing contractor from October 13, 2007 through December 14, 2007

It has been brought to our attention that a company by the name of Convention Housing, is making phone calls to HIMSS exhibitors inquiring if you need to make hotel arrangements for the HIMSS Conference.  Please note this company is not the HIMSS official housing company and we encourage you not to provide this company with any information regarding your company or hotel needs.

7. Hotel Suite Request Form or Meeting Room Space Form

Only companies exhibiting at the HIMSS08 Conference & Exhibition may request a hotel suite or a meeting room to host a function. Functions that involve conference attendees will not be approved during conference sessions or exhibit hours. Events that include the participation of conference attendees must be conducted only during the hours that are listed on the hotel suite and meeting space request form. If you wish to request a room, please fill out the form electronically.
