IMPORTANT DATES

1. 10 October 2008 – Pre-Conference Attendee Mailing List for Marketing Order Form Due

The pre-conference attendee mailing list order form (due 10 October 2008) is a great way to promote your presence along with your products and services to all registered WoHIT08 attendees. HIMSS will send you a list of current registered attendees on 13 October. This Excel list will contain attendees’ name, company, title and address (e-mail addresses, telephone and fax numbers will not be included); the list must be used by 3 November 2008.

2. 10 October 2008 – Exhibitor Hosted Event Submission Order Form Due

Exhibitors host many events throughout conference week – from big extravaganzas to small, intimate dinners.  Often these are some of the best opportunities to network with company sales executives and other clients.  Exhibitors may only host an event during non WoHIT08 hours.  Exhibitors do not have to complete this form if they have completed the meeting room/hotel suite request form.  The Exhibitor Hosted Event form can be found in the Service Manual under Marketing Opportunities.

3. 13 October 2008 – Private Demonstration Request Form Due

Private Demonstrations are meetings that exhibiting companies host in their booth with potential clients during non-exhibit hours (see times on form).  You can host a private demonstration anytime in your booth during exhibition hours.  The Private Demonstration request form can be found in the Service Manual under Marketing Opportunities.

4. 13 October 2008 – Booth Giveaways and Raffles Form Due

It is required that you notify WoHIT08 of your intention to raffle or give away any item at your booth.  The Booth Giveaways and Raffles Form can be found in the Service Manual under Marketing Opportunities.

5. 13 October 2008 – Who’s In Charge Form Due

At times, WoHIT08 may need to get in contact onsite with someone regarding your company’s participation in the exhibition.  For that reason, it is required that you complete the Who’s In Charge Form, located in the Service Manual under Registration.

6. 13 October 2008 – Early Bird Pricing Forms Due to Bella Center

The following order forms from the Bella Center, which can be found in the Service Manual under Stand Builder & Bella Center, are due by 13 October 2008 to receive early bird pricing:

7. 17 October 2008 – Lead Retrieval Order Form Due

8. 24 October 2008 – Catering Order Form Due

Bella Center Services has the exclusive right to serve food and beverages within the exhibition area.  Exhibitors are allowed to serve food at their stand, but only after approval by and according to specifications laid down by the Bella Center Services. This ensures you that you and your company are automatically covered by their license to serve beer, wine and spirits and that the rules for handling food are observed.  To receive these services, the Catering Order Form must be completed by 24 October 2008.

10. Move-in/Move-out Times

Exhibitor Move-in Schedule:
Sunday, 2 November 2008          08:00 – 17:00
Monday, 3 November 2008          08:00 – 17:00*

*all booths must be completely set up by 17:00
-The Service Center will be open to exhibitors from 08:00 – 17:00 Sunday and Monday

Badges are not required to enter the exhibit hall during move-in to set up your booths. Badges will be required on Tuesday morning. 

Exhibitor Move-out Schedule:
Wednesday, 5 November 2008    18:00 – 22:00
Thursday, 6 November 2008        08:00 – 15:00

Two important notes:

  • No packing of equipment or dismantling of exhibits is permitted until the exhibition closes at 18:00 Wednesday, 5 November 2008.
  • Early move-out will result in loss of exhibitor points.  This will impact space assignment at future World of Health IT Conference & Exhibitions.

11. 3m x 3m, 3m x 6m or 3m x 9m booths Please Read

If you have a 3m x 3m booth, 3m x 6m or a 3m x 9m booth at the WoHIT08, you have either ordered a shell scheme through HIMSS or you are bringing in your own.  All booth stand booths must have a shell scheme. If you do not have your own shell scheme and will need one, please contact Elli Riley as soon as possible to reserve a shell scheme.

Don’t miss the furniture packages in the Service Manual on page 31-33 of the order form catalogue (Stand Builder & Bella Center section) to make your furniture ordering easy.

12. Hotel Arrangements – Make Them Today to Ensure the Negotiated Discounted Rates

Ambassadors, the official hotel agency for WoHIT08, has specifically selected hotels, at negotiated rates, for all conference exhibitors. Hotel accommodation bookings can be completed online or via email at wohit@ambassadors.com

Hotel accommodations are subject to availability. Requests received after 9 October 2008 will be accommodated based on availability.

Let the Industry Know That You Will Be at WoHIT08

The WoHIT08 team has been actively pitching this event to the top trade and business journalists in Europe and we want to ensure you leverage this valuable channel.

It is important that you communicate your new product announcements and company news to the press that will be attending WoHIT08. By getting your newsworthy information into the hands of the media prior to the event, you will have a better opportunity of getting noticed at the show and being included in pre and post-show articles.  Below isa list of PR / media opportunities available to exhibitors prior to the show:

Strategic Media Partnerships and WoHIT08 Media List: We have a large number of media partners who are all supporting the event; you can find an updated list of media partners on the WoHIT08 Web site.  Many will be present at the conference with a stand, and they are all interested in receiving news stories from our exhibitors. To facilitate the communication, we have created a list of all our media partners with all their contact details, which can be sent to you upon request.

In addition, we have put together a list of the registered, accredited journalists, which will be sent to you upon request. All journalists are accredited. Please send your media lists inquires to Christina Roosen.

News-Wire Service: Health Tech Wire, a WoHIT08 media partner, has extended its services to the conference exhibitors.  If you go on Health Tech Wire’s Web site and click on the ‘go direct’ link, you will see a WoHIT08 logo. Click on it and you will be taken directly to the World of Health IT news channel where all news concerning the conference and its exhibitors will be featured. It’s time to reserve your booth space for the next Virtual Conference & Expo on 19-20 November 2008.  The result will be hundreds of sales leads.
